The backbone of our administrative services for HOAs is our detailed and comprehensive document management. We start by establishing a complete database of your unit owner monetary and non-monetary information. We keep it up-to-date with all unit owner concerns, complaints, violations, and applications for exterior modification so that your Executive Board and our property managers always have access to the most accurate information.
Our monthly management reports serve as one of the many links between your Executive Board and our property managers. Every month, you will receive a detailed, comprehensive financial report that includes an income and expense statement with budget comparatives, a general ledger trial balance, a balance sheet, a check register including bank statements and reconciliation, a cash receipts journal, and owner delinquency reports for both the previous month and the year to date. Next, we provide a CCR report that displays the current status of every unit owner and the associated concerns, complaints, violations, infractions, and architectural applications. Finally, we include a work report that details the status of every work or service order currently outstanding in your community. Our HOAs rely on our comprehensive management reports to function, so we take their preparation and timely delivery seriously.
PPM works on your behalf to keep all unit owners informed of any changes to covenants, conditions and restrictions, rules, regulations, policies, and resolutions. We are always available by phone, so we can take care of any questions or concerns in an instant and raise them to the Board when appropriate.
As part of our commitment to superior communication, we staff our property management offices during standard business hours including Monday through Friday from 9:00 AM-5:00 PM and Saturdays from 9:00 AM-12:00 PM from Memorial Day through Labor Day. We also provide 24-hour emergency service during non-business hours for solutions exactly when your residents need them.
